Your cleaning team can plan their time better if they are automatically informed about quick turnovers. Smartbnb enables you to set up check-out reminders to your cleaning team that let them know if the next guest is checking-in on the same day. 

Outcome of this set up

Depending on your preference you can set up a check-out reminder only in case of a quick turnover or add a line to your overall check-out reminder message in case of a quick turnover. 

Setting up a check-out reminder

If you are not yet using check-out reminder messages, go to the team tab, click on  Add a rule and select based on check-out time from the dropdown menu. 

For this purpose, set up a same day reminder in case you receive any last minute bookings that you'd like your team to know about. For example, if you set up a check-out reminder 3 hours before the check-out, the system will be checking 3 hours before the check-out if the night after the check-out is booked at that moment.

When you are setting up your message, decide if you would like to send the reminder only if a quick turnover is coming up or you would like to send an overall check-out reminder that mentions a quick turnover if this is the case.

  • If you want to send a reminder only for quick turnovers, leave the template blank. We will get back to it once you have done the second part of the set up. 
  • If you would like to send a reminder regarding all check-outs and add a line regarding quick turnovers in case the next quest is checking-in on the same day, write your template as if it's a regular reminder message regarding a check-out. For example: 

Setting up the custom code

Once you have set up your rule, saved your template and reviewed the rule settings it's time to go to the custom codes tab. Here you will set up a custom code that you will use in the template of the rule that you just set up. If you are not familiar with the custom codes feature, make sure to read this article to get acquainted.

You can name your code as you wish. For the purpose of this tutorial we will name the code %%quick_turnover%%. 

  • If you have decided to send a message only in case of a quick turnover, fill the text field as if this was the team message template. For example: 

Select the condition The night after the planned check-out is not available and save the code.

  • If you have decided to add a line about a quick turnovers to a regular check-out reminder message, fill the text field only with the relevant line. For example:

Putting the custom code into use

Now that you have set up your rule and your code it's time to bring these two together. Go to the team tab, open the check-out reminder editor and enter the code %%quick_turnover%% into your template. Save the template and activate the rule. You are all set! 

Keep in mind that if you decided to send a reminder only in case of a quick turnover your template should include the custom code and the custom code only.
